Administrative Assistant, Music Program


Location: Hickory, North Carolina

Part-time (20-25 hours/week)

The Administrative Assistant supports the music program within the College of Fine Arts and Communication. The Administrative Assistant supports the program’s daily operations, serves as the program’s primary contact point for internal and external stakeholders and provides administrative support to the music program and its public-facing activities. Experience with business office operations, event planning, customer service and social media is strongly preferred.

Supervisory Responsibilities

  • Supervises staff/student workers, including setting work schedules, assigning tasks and assessing performance
  • Provides coaching and training for staff and student workers as needed

Essential Accountabilities

  • Manages overall office administration for the music program
  • Plans, coordinates, and executes logistics for music program events and projects, including calendar management and development of event programs
  • Liaises with Marketing and Communication in the production of publicity and recruiting materials  
  • Processes contracts and invoices
  • Serves as primary liaison between the music program and other university departments and external stakeholders  
  • Serves as a liaison between the music program and the college dean  
  • Promotes a professional and inclusive work environment  
  • Oversees classroom facility operations in the Mauney Music Building
  • Works with Academic Affairs as requested
  • Performs other duties as assigned by the college dean

  • Proficient with Microsoft Office Suite or related software; willingness to learn other software  

Education and Experience

  • High school diploma required; bachelor’s degree or equivalent preferred
  • A minimum of three years experience directly related to the skills, duties and responsibilities listed is preferred
  • Experience in a higher education setting is preferred  
  • Experience in a music setting a plus

Physical Requirements

  • Work is normally performed in a typical interior work environment
  • Position is physically comfortable; individual has discretion about sitting walking, standing, etc.
  • Work environment involves minimal exposure to physical risks

Work Schedule

  • Monday-Friday, 9 a.m.-2 p.m. (20-25 hours/week), with some flexibility possible
  • Up to 20% (4 hours) of teleworking hours will be considered some weeks and during the summer, depending on program needs, at the discretion of the dean
  • Schedule is subject to change based on university needs, scheduled courses and university growth
  • Occasional evening and weekend work may be required as job duties demand
